1. Introduction Welcome to the AVALANCHE online Hackathon (“Hackathon”), organized by IOTAM LTD. (Organizer), on behalf of the AVALANCHE project Consortium. By participating in this Hackathon, you agree to abide by these Terms and Conditions. Please read them carefully before registering.

2. Eligibility 

Participants must be at least 18 years of age or have parental/guardian consent.

The following skills are mandatory: 

Programming in Python or any other language 
AI Engineering
Machine learning

The following skills are nice-to-have: 

Business Process Modelling skills
Cybersecurity skills

Employees of AVALANCHE project Consortium Members are not eligible to participate. However, they may assist participants as mentors during the coding/development phase.

There is no country restriction, however participants must be eligible to receive prizes.

The hackathon is geared towards individuals. However in case of a high number of participants, the consortium reserves the rights to create teams. Any decisions related to forming teams will be made in due time and properly announced.

3. Registration and Participation

Registration must be completed until 18th September 2025, h. 23:59 CET via the official registration platform (AVALANCHE website form). Applications sent after the given timeline will not be accepted.

Participants must provide accurate and truthful information during registration.

All applications will be taken into consideration. The Organizer and the Consortium will decide on eligible hackathon participants, at their discretion.

The Hackathon will take place virtually. The Hackathon will commence on 8th October 2025 and will end on 9th October 2025. The duration will be 24 hours.

The Hackathon challenges, programme and all other practical details will be shared on the Hackathon Platform (or by email to the Hackathon participants if the Organizer deems  it necessary).

4. Project Submission Guidelines

Submissions must be original and created during the Hackathon period.

All code, designs, and ideas must be developed solely by the participants.

Plagiarized or previously developed projects will be disqualified.

Participants are encouraged to use one or more of the following open-source resources while competing:

Submission deadlines must be strictly followed.

5. Judging and Prizes

Projects will be evaluated based on innovation, feasibility, technical implementation, and presentation.

The Evaluation Committee’s decisions are final and binding.

Prize details will be communicated during the event. Prizes are non-transferable and subject to applicable tax deductions.

6. Intellectual Property

Participants retain ownership of their submissions.

By participating, participants grant Ubitech and AVALANCHE Consortium Members a non-exclusive, royalty- free license to use, display, reproduce, distribute and promote their submissions for marketing and promotional purposes.

Participants must ensure that their submissions do not infringe any third-party intellectual property rights.

Organisation of the Hackathon does not limit in any way Ubitech’s and/or AVALANCHE Consortium Members’ right to develop or acquire similar, or competing software, products, processes or services. Participants’ Submission will not directly be used to create a Consortium product or service. However, as AVALANCHE Consortium currently provides and develops products and services related to the Hackathon’s subject matter, it is possible that future products and services may present similar characteristics to Participants’ Submission. Participants acknowledge that this may be the case and will not challenge any IP rights, request a financial compensation from Ubitech and/or AVALANCHE Consortium Members or rights of ownership on a product or service as a result of this.

7. Code of Conduct

Participants must uphold professionalism and respect towards others.

Any form of cheating, harassment, discrimination, or misconduct will result in disqualification.

The Organizer reserves the right to disqualify any participant violating these terms.

8. Liability and Disclaimers

Neither the Organizer nor any other party involved in the administration of the Hackathon will be liable for any incidental, special, exemplary or consequential damages, including lost of profits, loss of data or goodwill, service interruption, computer damage or system failure arising out of or in connection with these terms, whether based on warranty, contract, tort (including negligence), product liability or any other legal theory, and whether or not the Organizer has been informed of the possibility of such damage, even if a limited remedy set forth herein is found to have failed of its essential purpose.  

Participants assume all risks associated with their participation in the Hackathon.

The Organizer reserves the right to modify or cancel the Hackathon due to unforeseen circumstances.

9. Data Protection

By registering for the Hackathon, participants agree that UBITECH will collect, process, and store their personal data for purposes relating to the organization and management of the event, including registration, administration, security management performance analytics, and more generally, for the performance of its obligations under this Agreement and the enjoyment of its rights and remedies.

The data collected may include name, email address, contact details, and project submissions.

The Organiser is committed to complying with the General Data Protection Regulation (GDPR) and will ensure that personal data is securely stored and not shared with third parties outside of the AVALANCHE Consortium Members without consent, expect as required by law.

Participants have the right to request access, rectification, or deletion of their personal data by contacting the Organizer.

Any third-party service providers engaged in the Hackathon will be required to comply with GDPR standards.

10. Amendments and Termination

The Organizer reserves the right to amend these Terms and Conditions at any time.

Any changes will be communicated through the official Hackathon platform.
